37 hours per week (08:15 to 16:30 Monday to Thursday, 08:15 to 16:00 Friday)
Independent Forgings and Alloys (IFA), one of the UK’s leading independent aerospace and industrial forgers, are currently seeking a Purchasing Administrator to join our team.
The Purchasing Administrator supports the procurement function by managing purchase orders, maintaining supplier records, and ensuring the timely acquisition of goods and services. The role is essential to ensuring smooth supply chain operations, cost efficiency, and compliance with internal policies.
Joining our team, you will…
- Raise and process Purchase Orders (POs) for goods and services in line with approved requisitions.
- Monitor order status and follow up with suppliers to ensure timely deliveries.
- Maintain accurate supplier and product records in procurement systems (e.g., ERP software).
- Liaise with internal departments (e.g., Finance, Operations, Warehouse) to confirm order requirements and resolve discrepancies.
- Track delivery schedules, manage backorders, and update internal stakeholders on delays or issues.
- Support invoice matching and reconciliation by working closely with the accounts payable team.
- Source quotes from suppliers and assist in price comparison or analysis.
- Assist in maintaining stock levels, including placing reorders or flagging shortages. In particular management of stationary and other ad-hoc items.
- Ensure compliance with company procurement policies and procedures.
- Generate reports on purchasing activity, supplier performance, and spend data when needed.
What are we looking for?
With proven experience in an administrative role (preferably in procurement, supply chain, or logistics), you will be a strong communicator with the ability to challenge/negotiate. You will be proficient in MS Office (Outlook, Word, Excel) with a high attention to detail and organisational skills. You will be able to manage multiple tasks and work under pressure and will ideally hold a CIPS qualification or working toward one.
Professional, proactive and reliable, you will have a strong problem-solving mindset, be a team player with the ability to work independently and a willingness to learn and adapt to new systems and processes.
