IFA Administrator – Wealth Management (Cheam), £32,000 – £40,000 (DOE)
Salary: £32,000 – £40,000 (DOE)
Location: Cheam, Surrey (office-based with some flexibility)
About the Role
Our client, a forward-thinking wealth management firm, is looking for an experienced IFA Administrator to join its growing support team. This position goes beyond standard administration — blending traditional IFA support duties with the exciting opportunity to use artificial intelligence (AI) as part of everyday workflows.
This role would suit someone with prior experience as a Financial Administrator or Junior Paraplanner who is eager to develop their career in a firm that embraces innovation and future technology.
Key Responsibilities
IFA Administration
- Provide technical administrative support to advisers and paraplanners.
- Process new business applications across pensions, investments, and protection.
- Maintain accurate client records on CRM/back-office systems, ensuring FCA compliance.
- Liaise with clients and providers regarding queries, valuations, and policy updates.
- Assist with annual client reviews, portfolio valuations, and suitability documentation.
- Prepare client meeting packs and supporting materials.
AI Integration
- Use AI tools (e.g. ChatGPT) to draft correspondence, reports, and meeting summaries.
- Support research tasks and streamline provider/product comparisons.
- Automate repetitive processes, improving workflow efficiency.
- Contribute to first-draft suitability reports and compliance documentation.
- Share knowledge with colleagues on AI best practices and effective prompt use.
Compliance & Systems
- Follow FCA and company compliance procedures, including AML checks.
- Ensure records and audit trails are accurate and up to date.
- Work with provider platforms such as Standard Life Wrap and Quilter (Mabel experience advantageous).
Skills & Experience
- 2–3+ years’ experience in financial services, ideally within an IFA/wealth management practice.
- Strong knowledge of pensions, investments, and protection products.
- Proficiency with Intelligent Office or other CRM/back-office systems.
- Solid MS Office skills (Word, Excel, Outlook).
- Excellent organisational skills, attention to detail, and ability to manage a busy caseload.
- Strong communicator, confident liaising with clients, providers, and colleagues.
- Essential: Demonstrable experience using AI tools in a professional setting and enthusiasm for their application in financial services.
