As a Shipping Administrator, you'll play a key role in ensuring our shipments are processed efficiently and on time.

Full training will be provided in-house, making this an excellent opportunity for candidates who are ready to perform the role effectively, with responsibilities including shipping, export documentation, customs procedures, and office administration.

Location: Building 190 Carver Drive, Kent Science Park, Sittingbourne, Kent, ME9 8NP

Working Pattern: 20 hours per week (5 days per week, 4 hours daily).

Main Responsibilities and Duties

  • Prepare and manage all required shipping documentation for both domestic and international shipments, ensuring accuracy and compliance with relevant regulations.
  • Create shipping labels, arrange collections, and process shipments through courier portals.
  • Liaise with courier companies, freight providers, and customs authorities to facilitate the smooth clearance and delivery of packages.
  • Prepare regulatory documentation for shipments to the United States, including FDA-related paperwork where required.
  • Coordinate with Chambers of Commerce to obtain Certificates of Origin and other export documentation as necessary.
  • Process customer sample requests and sales orders, ensuring all shipment details, documentation, and instructions are accurate before release to the packing team.
  • Provide general office support, including answering telephone calls, responding to enquiries, and directing communications to the appropriate departments.
  • Maintain accurate shipping and administrative records in accordance with company procedures.
  • Perform day-to-day administrative duties to support efficient shipping, logistics, and office operations.
  • Assist with resolving shipment issues, tracking deliveries, and communicating updates to internal teams and customers when required.

Candidate Requirements:

  • Proactive and highly organised.
  • Detail-oriented with strong problem-solving skills.
  • Team player with excellent communication abilities.
  • Quick thinker who can adapt to a fast-paced environment.
  • Preferred: 1-2 years of administrative experience.

Additional Duties

  • Any other tasks that may be required due to business needs.
  • Cross train with rest of shipping team to cover for absences.
